GENERAL DUTIES AND RESPONSIBILITIES

Under the general supervision of a Senior Management Analyst, or a department manager, performs paraprofessional, technical, and program support activities, within an administrative operation of a City department. Performs related duties as required.

Essential Duties

1. Provides paraprofessional, technical, and administrative support for one or more departmental program areas, by: gathering, processing, filing, and retrieving data; scheduling, and participating in, activities; organizing tasks and projects; and completing the more complex office and clerical assignments.

2. Exercises independent judgment within a defined area of expertise, and interacts with co-workers, other agencies and organizations, and the public, in order to achieve program goals; participates in meetings as required.

3. Receives requests for information from department supervisors and managers, or from other agencies or organizations, and determines the most accurate and efficient way to obtain, and present the information; may refer the requestor to another source if the request goes beyond the scope of expertise, or the limits of the program area(s) of responsibility.

4. Utilizes computer hardware and software to store, retrieve, and process information; trains other department staff in the use of specific programs; may modify existing programs, or participate in their modification to obtain desired formats.

5. Coordinates the activity of a sub-program, or special project; may provide lead direction to the staff, or volunteers assigned to one or more of the aforementioned activities; may serve as paraprofessional staff support for a department manager or supervisor.

6. Prepares charts, tables, forms, rosters, schedules, records, letters, and memoranda for various program and project activities, using PCs and word processing, spreadsheet, database, and network operating systems.

7. May serve as a program representative for the distribution of information, or for presentations to local organizations, groups, or the general public.

8. Provides basic staff support services as needed, that may include one or more of the following: document and forms processing, photocopying, FAXing information, recordkeeping, telephone reception, and mail processing.

QUALIFICATION REQUIREMENTS

General Knowledge, Skills, and Abilities

Considerable knowledge of office practices, procedures, and operations, as they occur within public agency programs; considerable knowledge of computer capabilities and applications as they relate to the duties of the position; knowledge of a wide variety communication techniques; knowledge of program responsibilities as they relate to the duties of the position; knowledge of basic data gathering, compilation, and presentation techniques; ability to learn the unique characteristics of department programs and operations; ability to act independently, and make decisions within the scope of a paraprofessional position; ability to gather, compile, organize, and interpret information; ability to utilize word processing, spreadsheet, and database systems sufficiently to perform assigned duties; ability to maintain orderly and accurate records and files; ability to prepare reports, letters, and other documents as needed; ability to train other employees, and/or provide lead direction to staff or volunteers; ability to make presentations, or provide information about various aspects of one or more programs; ability to perform basic support staff functions; ability to interact harmoniously with other employees, other agencies and organizations, and the general public.

Experience and Training

Completion, or equivalent, of one year of related college coursework, plus related work experience, typically two years in complex recordkeeping, data gathering and organizing, and general program support roles that relied heavily on the use of personal computers. Additional related experience may be substituted for the required education, or any combination of experience, education, and training that provides the required knowledge, skills, and abilities.
